The library is seeking an individual with excellent customer service skills as well as strong verbal and written communication abilities and organizational skills to work full-time in our Administrative office.  You will interact with library staff, Board members, patrons and vendors performing a variety of administrative and clerical tasks.  Our ideal candidate should be proficient in Microsoft Office applications and have the ability to multi-task in a busy office setting.  Candidates with Microsoft Office certification and/or library experience will be given primary consideration.

Job Summary:

Provides administrative and clerical support to administrative staff, library departments, and the Board of Trustees.  Serves as initial administrative contact for vendors, patrons, and staff members.  Plans and organizes meetings, prepares correspondence, manages office supplies and office equipment repairs and maintains administrative records.   

Essential Functions:

  • Performs administrative support functions of a diverse and confidential nature for the Director, Board of Trustees and Administrative office staff. 
  • Takes official Board and other meeting minutes and prepares and distributes Board packets.
  • Prepares, sets up and cleans up for Board, committee meetings and other special events.
  • Composes and edits correspondence and reports for Administrative Staff and Library Board.
  • Independently prepares and responds to general correspondence of a routine nature. 
  • Performs clerical duties such as filing, word processing, preparing spreadsheets and photocopying.
  • Establishes and maintains a comprehensive record-keeping system and office procedures.
  • Acts as a receptionist for Library Administration by greeting visitors, responding to questions, answering phone and directing and routing phone calls. 
  • Files and maintains administrative records including weekly staff schedules.
  • Manages the daily, weekly and annual schedule of the Director.  Responsible for updating and rearranging appointments as needed.
  • Serves as back-up to Deputy Fiscal Officer including processing purchase orders, invoices for payment, check stuffing, mailing and preparing banking for deposit.
  • Assists with the preparation and monitoring of the budget.
  • Coordinates staff training registration and travel arrangements.
  • Assists in recruitment including tracking applicants, scheduling interviews and responding to employment inquiries. 
  • Serves as liaison between library staff and Friends of the Library in processing Friends of the Library funding requests.
  • Processes annual eRate application.
  • Collects and compiles monthly and annual library statistics and reports as assigned.
  • Receives and coordinates public information requests. 
  • Maintains, orders, tracks and distributes office supplies, equipment and furniture for all library departments.  Assists with researching purchases. 
  • May process incoming and outgoing mail including library mail sort. 
  • Serves on library committees as assigned.
  • Follows library safety and emergency procedures.
  • Reports maintenance and safety issues to supervisor and/or Facilities personnel.
  • Performs other duties as assigned.

Required Knowledge, Skills, and Abilities:
